Role Summary

We are hiring one full-time, highly organized coordinator to run our volunteer and committee workflows end-to-end. You will own day-to-day operations (recruitment → onboarding → engagement → reporting) and provide lightweight research coordination support across selected ASIDE projects.

Employment Type & Terms

  • Full-time (remote)
  • Contract-to-grow (strong performance can lead to longer-term expansion of responsibilities/contract)
  • 30-day trial period with clear milestones and deliverables
  • Reports to: CEO
  • Work style: structured, deadline-driven, consistent follow-through (comfortable working across time zones)

Key Responsibilities

1) Volunteer Operations (Pipeline Ownership)
  • Manage volunteer recruitment workflow (intake → screening → placement)
  • Conduct onboarding and ensure volunteers have what they need to start
  • Maintain volunteer records, role assignments, and engagement tracking
  • Support retention through check-ins, recognition, and clear role expectations
2) Committee Operations (Execution + Administration)
  • Schedule committee meetings and maintain calendars
  • Prepare agendas, take minutes, document action items, and follow up
  • Track committee deliverables and ensure timely updates to leadership
3) Digital Programs & Member Support (Basic Systems)
  • Maintain simple access and communication systems (Drive permissions, group emails, updates)
  • Support basic WordPress tasks (posting updates/pages, light formatting, uploads)
  • Keep key documents organized and up to date (SOPs, onboarding docs, templates)
4) Research Project Coordination (Selected Projects)
  • Track tasks, timelines, meetings, and documentation for assigned projects
  • Coordinate communications between collaborators/volunteers
  • Maintain clean project folders and simple trackers (Sheets/docs)
5) Reporting & KPIs
  • Provide monthly updates to leadership (what shipped, what’s blocked, what’s next)
  • Maintain a simple KPI snapshot (e.g., volunteer funnel, active volunteers, committee attendance, deliverables)

Tools You’ll Use

  • Google Workspace (Docs, Sheets, Drive, Forms, Meet)
  • Basic WordPress (updates/posts/pages)

Qualifications

Required
  • Experience coordinating volunteers, programs, communities, or operations (nonprofit/association/academic/healthcare preferred)
  • Strong organization and execution (you can run workflows reliably without reminders)
  • Excellent written communication (emails, meeting notes, concise updates)
  • Comfortable using Google Workspace daily
  • Basic WordPress comfort
  • Research exposure (supporting research teams/projects is strongly preferred)
Nice to Have
  • Experience with professional societies, journals, publishing workflows, or healthcare research environments
  • Experience using AI and automation
  • Familiarity with membership/community tools and volunteer management systems

First 30 Days (Trial Milestones)

You’ll be expected to deliver:

  • A working volunteer pipeline (intake + tracking + onboarding steps)
  • A clean committee ops workflow (calendar + agenda/minutes templates + action tracking)
  • A basic monthly KPI/update format and first report draft
  • Active coordination support for at least one assigned project tracker (tasks/timeline/comms)

Compensation

This is a budget-conscious role. Compensation will be based on experience and location.
